Our Volunteers

Swim meets and events cannot run without our wonderful volunteers! This is why we have a sign up calendar here on our website that you can use to help the Jets have a wonderful season. 

Each job on the sign up calendar has a certain point value, and when you sign up and complete your job at the swim meet or team event, those points will be awarded to you. Our policy at the J is that every family must volunteer and obtain a minimum of 10 points by the end of the season.

Meet Jobs

These jobs are done at the swim meet, meaning you don't have to do anything at home in preparation for the meets before you arrive.

Head Clerk of the Course (5 pts): (home meets) During the meet, swimmers must report to the Clerk and turn in their event card as soon as their event is called. The Clerk of the Course is responsible for organizing swimmers into heats, assigning lanes and providing a place for swimmers to wait until their race begins. The Head Clerk leads this team and should have previous clerking experience.

Clerk of the Course Assistant (4 pts.) (home meets): Assists the Head Clerk in organizing the swimmers by heats. No previous experience is needed.

Timers (4 pts.)(two per lane per team) : Pretty self-explanatory. Timers fill out the time sheet (given to them at the beginning of the meet). Using stopwatches, timers stand at the end of the lane to clock and record times.

Timers FAST MEET (4 pts.) If all 10 timer spots are filled up in the Standard Meet Section, sign up to time here. If all spots are full here, then the meet will go much faster since we can have two teams of timers per lane. Only sign up for this position if all other time spots (in the Standard Meet category) are full.

Card Runner (4 pts.): After each race is completed, the runner collects all cards from the timers and delivers them to the computer table.

Announcer (4 pts.)(home meets): Announces all swim events and any relevant meet announcements to ensure that the meet runs according to schedule. Must be at pool by 5:15pm to announce pre-meet activities (on the job training provided).

Hospitality (4 pts.) : (home meets) Delivers drinks for all meet workers during the meet.

Computer (5 pts.) (home meets) Enter the official times for each swimmer into Swimtopia computer system during the meet and complete all entries by the conclusion of the meet. Not too hard to handle, in addition to a detailed instruction sheet additional training will be provided the night of the meet. Should check in by 5:00pm for training.

Computer Swim Card Reader (4 pts.) (away meets): At away meets, this volunteer reads the swimmers times to the Computer entry person (who is from the home team) and provides a second pair of "eyes" to make sure the correct times are entered.

Card Sorter (4 pts.): Receive cards from the Runner and sort by event and heat. Match DQ slips with cards.

Signup Instructions for Swims and Jobs at Meets

How to Register for Jobs and Swims at a Meet:

Log in to the website. Login is found in the upper right hand corner of the screen.

If you can’t remember your password, click "Forgot your password" to reset your password.

Under the Meets & Events tab, select "Signup Calendar" to sign up for a swim meet.

Job Signup

  • Click the green JOB SIGNUP tab and sign up for volunteer shifts (note you may sign up both parents for jobs -- scroll down and you’ll see the other parent listed). If you know you and your spouse will not be at this meet, skip to Swimmer Signup.
  • Click Save Assignments.
  • Click Back to Signup Calendar.

Swimmer Signup

Every meet (except one) swimmers will get to sign up for their own events:

  • Navigate to our Sign Up Calendar.
  • Select the meet you wish to declare for.
  • Click the green MEET ENTRY tab, and then click the green Edit tab under your athletes' names.
  • For each of your athletes, select an option from the drop down list next to their names.
    • (undeclared) 
    • Attending
    • Not Attending
  • Select the appropriate events from the list shown. If a prompt comes up that asks if you have received coach’s approval, make sure you get that approval on deck or via email.
  • Specify your swimmer's availability for relays from the drop down options (if offered). NOTICE: If you are uncertain of if you can stay for relays, do not sign your swimmer up for relays! If you sign up for a relay, and you leave early, your swimmer's relay gets scratched and the other kids don't get to swim!
  • Click Save to record your choices.
  • You are all set! See you at the meet!
